Announcement Guidelines
1. Authorization
Always prepare a draft announcement here, in a new reply box. When you are satisfied, and Preview shows that coding is intact, get another officer to review it if they are available. At least get approval from the captain or designated VC to send the announcement.
2. Preparing a Draft
Only one announcement can be sent per 24 hours, no less. Announcements should be sent out around once a week. Double-checking will assure that nothing critical is omitted while preventing typos and procedural or policy errors. That improves clan morale and confidence in clan officers.
3. Format:
Heartfire announcements will generally follow the same format: Bolded, enlarged, colored red, centered headline. Mailbox graphic Centered text - main points Centered fiery banner Centered text - reminder links
An easy way to do this is to copy an older announcement and replace older section of text, but using the same coding. There is a 1500 character limit. Try to keep length close to other announcements, to save yourself extra work. Always preview, to check that coding isn't broken anywhere by a misplaced or missing character.
Try to make it visually appealing, but set off important information. Avoid wording that is confusing or can be understood in two ways - this is one of the main reasons for having someone else read over an announcement.
When a time is given, use PST/PDT and remember to add GMT-8. IMPORTANT: If you use (....), LEAVE A SPACE between 8 and the (...) like this: (GMT-8 ), not (GMT- cool - or you will get a smiley and not the number 8.
Alternate format: Always include bolding, color, and a graphic. If longer text is absolutely necessary, you can take a screenie of the text, trim it in Paint or photobucket, and make the picture into a link on the announcement.
Announcement-tagged threads : These are NOT the announcements sent out. The tag merely affects forum position. At the bottom of the first post, on any thread you can label it Normal, Sticky, or Announcement. In the forums, all Announcement-tagged threads appear at the top in date order of latest post, all Sticky-tagged threads are next in date order, and all Normal-tagged (or unmarked) threads appear last, in date order.
4. Approval
Step One - Each announcement must be approved by the captain or a designated VC.
Step Two - It is preferred that they also review and approve the actual announcement before it is sent, whenever possible.
Sending an announcement without authorization may be considered insubordination. If there is an emergency, it may be acceptable. (Impatience is not an emergency, officer illness or site failure is.)
5. Sending
Plan ahead - remember that you will not be able to send another announcement for a full 24 hours. Does anything else need to be included? After you send the announcement, please add date and approxiate TIME sent, in case someone needs to know when the 24 hours is up.
To send an announcement, copy the draft and go to the homepage.
On the right, under announcements, click on View all announcements. Click on Send clan announcement. (Or - on Moderator Panel hover menu, click Send Clan Announcement.)
Paste the draft announcement into the block. Give the announcement a title. (No BBCode) Read the page outside the announcement block.. Use the Preview button and do a quick review. Make any corrections. Preview again. When ready, send.
There is a 1500 character limit - you may have to trim your announcement to fit within this. Always use Preview button after any changes.
Alternative: You can take a screenshot to reduce image links, but: a) You will lose all activ links and can make only one with the entire screenie or cropped portion (do this in Photobucket) and b) The picture will be slightly smaller and slightly fuzzy, so it will be harder to read.

1. Too long. Took screenie of entire announcement, was slightly fuzzy and links did not work. (Also, the timer links were correct, but the times for the parties were reversed.)
