So you're interested in helping get the locations set up so we can get this rock a rolling? GREAT we could use the help.
Below you'll find the step by step "How-To-Do" that we use to set up locations along with everything you should need.
But first, let's go over the basics of what's to be expected.
#1: Teamwork. You're not going to be expected to do any more than YOU feel comfortable with and are able within your time budget. IRL always comes first. NO MATTER WHAT! If you get started, find this is too much work and want to call it quits. Don't be afraid to say so. No one is going to judge you for this. This is volunteer work after all. It'll help me find who I want to crew the guild with me later on of course. To that end, you only need to get the come up with a list of encounters for Grass, Honey, Fishing. If you want to do all the different encounter types go for it. Otherwise, the basic big three is enough and someone else can finish up.
#2: Uniformity. As a team, we need to strive to ensure each location is consistently given the same time and effort as the next, or the last. This means making sure every thread, be it a location or not, presents all relevant information upfront and straightforward. Be clear and to the point without being rude or overly controlling. Ensure all information shared between threads is correct and nothing relevant is left out.
So now that we have that out of the way lets get started shall we? We'll break this into steps to ake it easier to understand.
Step #1: Pick a location in the guild and then find that same location on Bulbapedia. For our example, we picked "The great Marsh" in the Sinnoh Region ( https://www.gaiaonline.com/guilds/viewtopic.php?t=25236719 = GaiaOnline ) ( https://bulbapedia.bulbagarden.net/wiki/Great_Marsh = Bulba ) This page will list all in-game pokemon that can be encountered here as well as all locations connected to it. In this case, that's Pastoria City.
Step #2: When settling up encounters, pick pokemon that are canon to that location from the Bulba page listing. In this case, we have~ Psyduck, Wooper, Quagsire, and Marril, for surfing. Magikarp, Barboach, Gyarados, Carvanha, and Whiscash for fishing
Psyduck, Tangela, Hoothoot, Noctowl, Marill, Yanma, Azurill, Tropius, Starly, Bidoof, Bibarel, Budew, Arbok for the grass
Golduck, Tangela, Roselia, Skorupi, Croagunk, Carnivine, Paras, Exeggcute, Kangaskhan, Shroomish, Gulpin, Kecleon, Drapion, and Toxicroak for variation.
And here is where YOU get to be creative. We need to list these guys so they all show up at this location OR at the very least most of them. So what four pokemon do you think would be most commonly found here? Being a mash Psyduck, Wooper, Yanma and Paras are prime candidates. These guys are like the Zubat of Dark Cave. They show up more than anything else BUT they aren't the only thing here.
Step #3: Setting the numbers can seem overwhelming at first but really its already half done for you. See the letters A,B,C,D, & R indicate what pokemon should be set where on the list. Notice there are three A's, two B,C, & D's, and three R's. A is the MOST common pokemon of that location IE Zubat for Dark Cave. Then B, C & D are the second most, or the uncommon pokemon. We'll go ahead and set them out but for our example, we left the letters. Something you'll have to remove.

Now about those R's .. R stands for Rare Pokemon. There are three slots and we don't double up on chances so we need 3 different pokemon. One for each slot. Those elusive Tropius, Kecleon, and Kangaskhan will do. It's best to pick pokemon that are harder to find in-game for these positions. These guys should NOT be options for SoS, Honey, Sweet scent ext. They should be exclusive to grass encounters. We want each locations different encounter options to feel different and give different options to encourage time spent in each location looking for the different Pokemon.
Step #4: SoS, Honey, and Sweet Scent,
That seems like a LOT to cover in one section but really is not, at least I hope it's not XP
Sweet scent: Pick one or two of your four common pokemon from the grass list to be hoard encountered ( five of the same pokemon ) for rolling a 1 or 3, then pick 2 more different pokemon that make sense to go in slot 2 and 4. In this case, I picked.

Try to avoid "Rarer" pokemon for hoards battles.
For Honey, you WANT to pick "Rarer" pokemon are at least those that are slightly harder to find. Don't be afraid to double up too. For mine I picked

#4 Croagunk
#5 Tangela
#6 Hoothoot
No for SosS battles. These can be a little tricky BUT not too tricky. The idea is to pick the "Evolved" pokemon in any given list. SO i did this~

Now you might have noticed two of my listed pokemon are not canon to this location BUT their pre-evolution was. This is a workaround and is 100% fine to do whenever you want in making a listing. So long as one of its stages of evolution appears within a location you can add any of its stages to a list.
Step #4: Weather, Surfing, and Fishing
This is just common sense listing really. Would you logically encounter a Goldeen on dry land even if it was raining? Probably not. So don't list is as a weather encounter. Would it make sense to encounter Paras, Gulpin and Bidoof in the rain? Yeah probably more than fishing on surfing.
You don't need to list EVERY pokemon but you should try to get the must creative listings.
NOW for some locations, you won't have enough options .. we're all looking at you route 1 ... Rattata and Pidgey ... SO the workaround is to look at connecting locations In-game. In this case that would be Pastoria City. Now Pastoria City doesn't have any listing for grass but it does for fishing and surfing. SO if we needed to we could pull Shellos and Gastrodon into the Great Marsh for encounter options OR if even then you have no options ... be creative. Think about what pokemon MIGHT also show up here for me I think guys like Goomy, Dewpider, and Poliwag, maybe even Totodile are all very likely to live in this sort of a place.
