-Less rooms to match the amount of staff we now have as we're spreading our selves way too thin with the amount of staff we have active in the guild
- (moo) make the rooms be like teams of some sort and give daily missions i.e. go into other team's hqs and sabotage them
- (wintry) have a room specifically ooc talk

-This is more for the guild itself, but maybe some sort of game/meet-up once a month to help keep members active, or at least to figure out early on who has disappeared?
ye that ties in with less rooms, we just dont have the staff anymore for 6 rooms to run on the event with no problems

1. Communication: It seemed there was a long time that nobody was talking to each other. Honestly, I don't see why people of other rooms can't talk to each other. Help each other! Don't be afraid to ask co-hosts to move! Don't be afraid to be a co-host in another room is time allows!
Also, might I recommend to the main host to send out monthly updates. Like check in with people, let them know where they should be, help them get up to speed.
2. Committees: Okay, like none of them were active. The fundraising committee basically was one person. Either we have them or we don't. But really, we need them. Otherwise, we wouldn't have funds, and I'm pretty sure part of the reason we didn't have a lot of people attend this year is the lack of advertising.
3. Advertising: Have some events! Make threads in Gaia's event subforums! Approach guilds and ask to affiliate and ask that they advertise it close to the AURB going live!
4. Activity: So many people seem to disappear throughout the year. What if we make it worth the while to stay? Have game nights! Have mini-events for members in the guild! Hell, have a chatroom that's open just for us to derp around in and get to know each other. I feel like I know most of the regulars only half as well as I should, and this is my fourth year being involved with the AURB.
5. Co-Hosts As I said before, the co-host thing can be solved by people having more than one character. It's been done before. And it should depend on the plot and amount of host applications we get. Perhaps with the host applicants that aren't selected, the main host/secondary personally asks them to apply to become a co-host, that or just assign host applicants to rooms and shuffle them around if needed.
Which sounds complicated so click the spoiler for an explanation.
Host Applications: Jack, Cara, Mia, Jenna, John, and Alice all apply to be room hosts.
Host Selection: Jack and Mia are a room, Cara and Jenna are a room.
Co-Host Selection (round one): Alice also has a really promising application, but could use more experience. She is allowed to select either Jack and Mia's room or Cara and Jenna's room to be co-host in. She has no more importance than choosing early.
Prioritize tasks: Figure out which task that are essential for your room, do them first. The lower level priorities can wait.
Seriously enforce deadlines: We all know we have other stuff to do but still at least encourage get this or that done around a certain deadline time.
This might not be realistic but have a mixture of crew members from different time zones. That way a room isn't dead all the time. There could be shifts.
Back up plan: If something happen to Plan A then do Plan B and so forth. That way we won't have to make something up on the spot. Make sure crew members are aware of those back up plans if a situation occurred.
Go over rules and responsibilities for the crew. Let them know whats okay for them to do or not. Yes, there is a thread stating the responsibilities but it doesn't hurt clarifying or going in a little deeper.
Roll calls and checking in on crew members. Send a pm once in awhile to your crew members asking if they still willing to continue or there are any concerns of something that may pull their attention elsewhere. If you hardly see or get no responses after a certain amount of time start seeking replacements. If still no responses especially if it's close to ball time they're replaced.
Another suggestion maybe use the Gaia Chat feature? We're able to make private rooms during the ball for a Host Lounge. No need to go to another site if we don't want to.

Maybe we could figure out our committees a lot sooner this time around (before we start talking rooms and stuff). That way we aren't spreading ourselves thin because we have to worry about planning rooms AND art shops and fundraising threads and advertisements. With the way Gaia's economy is, it would be best to start fundraising a lot sooner and that could easily go hand in hand with other committees.
I think for next year, we should consider asking for a button in the header, like they do for official Gaia events. I think they would be willing to work with you considering your past history. This would make more people likely to attend.
I also think it might not be a bad idea to consider doing a kickstarter again. Especially if the people in this guild could create an information thread that we could have the staff link to from the kickstarter page. NPCon created an information hub for their fundraiser, and the responses were on the whole positive, because they controlled the reactions.

Wintry Tea's Suggestions
1. Have a specific room for the hosts + staff to rp in during the ball -When rooms are slow, we can't just rp with ourselves -The room is a place, where it doesn't matter what room your from, it can be a general area (or like the 'center') that all the characters would meet in
2. Have a monthly host check in chat room
3. Have a monthly event that everyone can come to (chat room, rp room, etc.) OR Have a weekly chatroom (if we do daily, then we might get sick of it, causing the room to die)
I agree with all the suggestions above, they are all awesome.
I'll add that the Guild itself needs to set up deadlines for the rooms. For example, have your co-hosts picked and plot decided and graphics ready by a certain time etc to avoid last minute all niters. This would also help if we have layouts/coding/gphx ready to go in case an emergency arises and the main host for the room cannot make it. At least the room it set up, just will need to be copy/pasted and such. Have everyone have their post formats available as well, just in case and we need to find a replacement.

Hmm...Make sure the story's in the different room's aren't too complicated - I noticed that sometimes there's too much story going on in the individual rooms, and those that are coming in late or go to sleep for the night are greeted with things happening that they don't understand. Having fun and adventure is great, but at least make an easily updated post so that others can catch up.
I agreed on Eren Jaegerbomb, Madame Mae, Violet the Maestro, TheMainCharacter1, Derpy Seviper, Yeata Zi, Wintry Tea, and Tiny of the Tigers~
For mine suggestion that different from others is~
1. Make sure the rule are understandable. Kinda got confused with

2. Make sure the game forum have someone active and moderator or least one of RPer minor or host/co-host due the game forum then.
3. Why not allow Host, Co-host and minor RPer to invade one another Gala/Balls for fun, story, mini contest of it? -Story~ Just make up the exchange talk in all to know we are interacting with eachother. -Mini Contest~ Have two different rooms forum a contest together in one of there own rooms they choose first and do same in to the other rooms secondly. Same time interacting to keep thing interesting. Also the plot line going~
4. At the end or half way of Gala beforeandafter voting of King and Queens, why not make a mix room contest all together like end of storyline or plotline? Also own Room for Culprit plus short story from Host was doing before their item was stolen.
-I.E~ {Using the Faery, Pirates, Demon, Mermaid, Witch, and Circus}
Let say each of the six Host was item missing before voting, show a short story plus hint where they last recall that item. Also have mysterious person leaving hints notes in six rooms for hint of culprit. Which will lead their Co-Host or minor as culprit. {Before starting, someone in six room be culprit. Then let sum up a short story what have those Co-Host and Minor where doing before and after the item was stolen form Host}
When someone say they think they found the one of culprit in six room, they send the PM to that Hosts of that room the Culprit was at or RPing, plus, how they figure it or short story why they think they're the culprit. {Though if first person find the culprit of one of six rooms win, also show who's the Culprit and who's one find it plus how they figure it out! It'll fit the end plotline~ And they can only find one culprit for this game so other have the chance to find them.}
The ending will depend of how many culprit caught after end of Gala~ Thus the ending story for it! Beginning to end.
