I think one thing that could be done is to make sure that you have newbie room hosts/secondaries paired with a hosting veteran as a host/secondary so that the person who has less experience can learn things from the person who does. In the event that the hosting veteran has to leave, hopefully they'll have passed on enough knowledge to the hosting/secondary newbie so that they won't feel like they need to panic and can run things without them. This was my first experience leading anything, and when Daku had to give up being main host for our room, I was terrified. Yes Chibi, Violet, and others helped me along the way, but I was still nervous right up to the last minute. sweatdrop

I call for a host club!

We should also have a small rp constantly running in the forums. That way we can maintain practice and advertise at the same time.

One thing I'd like to see is more of a focus on fundraising. I think we've been relying a little too heavily on donations recently.
Actually, the fundraising commitee earned most of its funds through shops, art auctions and the booty team headquarter's. This is before we found that each roomn decided to do its own fundraising instead of trying to help in what we had already established whther it was an idea or shop.

Right during the week before the ball did we get a random surge of donations.

I would very much like to have a pre-ball forum of some sort for the public... something like a Green Room, Drawing Room, or Foyer, where we could make announcements of upcoming things, do teaser trailers and reveals over time to build excitement.

This would give people the opportunity to plan ahead more for their characters, maybe make avi art or save up for items that would complete their looks, and choose their favorite room in advance (maybe one week prior), including code for them to put a banner for their chosen room in their signature:

Quote:
"Come Join Me in (My Favorite RP) at the 11th Annual Ball on (This date)!!!"

This way we could have pretty much anyone interested getting their own friends interested and excited well in advance!

I really like this idea! And it would be good role playing practice with our characters cat_3nodding
I'm assuming it would go in the Barton Town forum? And everybody in one forum? Also, would we give away the theme since it will be close to the ball anyway?

I think this idea could work out well to get people pumped and give them a better heads-up cat_3nodding

I like the idea too.

We tried that this past year with Castle Gaia, but it didn't work out too well. No one hardly took notice. sad But, maybe if there are really good roleplays in there all the time, people would take notice. biggrin

I didn't even know there was one! Is there any chance we could get an announcement made like the one for the ball, but sooner, to announce the fact that the ball is coming and that there is a waiting room for people to check out?

I was also thinking of revealing information gradually as it gets closer to the date of the event - for instance, if we were all to have a back-stage style Green Room, folks would see the actors getting into their costumes - so they'd know some of our names already, and see us in pirate pants and boots but with our t-shirt on and hair in curlers or something - still getting ready. We'd get more made up as the event drew closer, and start announcing themes closer to the final date. Start out by having all of us sporting a share-able banner for the Green Room until the event rooms are announced.

If we could create an "invitation" the week before the ball that could be announced to everyone, that would be great! It would be a simple graphic basically saying "You are invited to the 11th Annual Ball" etc.
I also like the idea of sharing little tidbits of information before it begins. Maybe we can give riddles, something the community as a whole could collectively try to guess the meaning of. I think it would give them something to talk about which would create some nice word-of-mouth free advertisement.

We could ask for a second announcement, but somehow I don't think we're going to be able to get it. Still, it would be cool if we did. biggrin

So that's that happened! eek I kept checking the fundraising committee area, and it kept looking pretty dead. I think it's great for each room to do fundraising, but there is one little problem with that. Rooms that have several artists tend to be able to raise funds rather quickly, but rooms without any artists end up trying and failing at raffles. It would be nice if we could make sure that the artists are spread somewhat evenly among the rooms.

Sad, but true. We still raised quite a large amount on our own though, which was great.

Well, it turns out that there was a trade in limbo to Poy for 5 million gold. Apparently the ball was dropped on completing the orders, but that trade is being transferred to Annual Ball, and we will have those funds to work with once those old art auction pieces are completed. biggrin Not a bad start for our fundraising! heart

Also, I want to make sure that every artist who participates in any type of fundraisers knows that he/she should not offer to do a certain amount unless they are absolutely sure they can follow through with it. 3nodding

Yeah I am definitely not taking on running anything AND offering art ever again...I either run a shop or do art, not both! If I do art at all for fundraisers I am definitely sticking to easier, quicker stuff.

For fundraisers, sadly I do think you want to stick to things you can do quickly. I can code profiles, but it sometimes takes me months as I want everything all perfect... certainly not going to offer to due that for any fundraising shops as that otherwise will eat up all my time.

I agree completely! My larger, more detail stuff is more impressive and brings in more gold but I'd rather do a bunch of quick little things than be stuck on one big thing. That way I don't have a ton of gold tied up on one or a few pieces.

hihi! i have an advertisement suggestion.
so i'm not sure if this whole 'anon' thing is new to gaia, as i just came back to gaia during this year's ball, but it seemed to just eat everyone's attention up. i'm sure if we had a small group of people put these things together and send them out two weeks, maybe a week, before a ball, it'll intrigue peopel about the ball. the stories could contain hints of the balls theme and, since people love sharing their anon stories in other forums, it could be a way to pass the word quicker.

        just a thought.
though i'd totally love to be a part of it. c:

So I've been noticing a lot of problems with photobucket lately... I've seen a mini shop that couldn't send out orders for over a week because the owner couldn't access her own photobucket account, it was horribly slow over the weekend and right now I get nothing but error after error trying to upload things. There's also been situations where the image is there for real but all that displays is an error saying that the image was moved/deleted.

Hopefully this won't be a problem the next time the ball rolls around, but these problems have been ongoing. Better overprepared than sorry, so...

It might be a good idea for rooms to backup their post styles, images used on the front page, etc on another image hosting site and have the alternate posts for the first page, post styles etc all pre-written just in the horrible situation that they loose access to their account or images decide to not load anymore.

I tried to circumvent this problem by having half of my images on one photobucket account, half on the other, and then putting a couple things on my personal one. I figured this wouldn't eat up the bandwidth as quickly. Maybe this might be a helpful solution for other people? Also, if we all decrease our file sizes to help things load more quickly, we shouldn't have as much problem with file size, right?

@Viridian - If that isn't against the ToS, I think that would be an awesome way to get the attention of RP veterans who might otherwise ignore us! biggrin

I guess I wasn't all that clear. I'm not talking about bandwidth but photobucket itself having issues.... like how I could not upload anything at all to photobucket from 8pm onward. If you waited until the last minute to upload the images pertaining to your thread and run into that issue, you won't be able to upload them until possibly the next day, maybe longer.

Or the image is there, but you get an error like this that says the image isn't...
User Image

I'm only suggesting that it might be a good idea to preemptively also have the images your thread is going to need stored elsewhere, even if it is just a 2nd photobucket account and have things ready so that you can switch over to using those images just in case something happens where your images stop showing up because photobucket decided that they are not there.
