alalal984 0-Azula-0 ALOT. Ive been rolling this idea over for a good while. Every event we have is some forum based dance or roleplay related with no real hype to it. Like the event thats going on right now, it's a fun twist to the roleplay but it seems to revolve around Sing and not really including the guild members as a whole. And in my opinion the guild should host events that welcome everyone so that we may promote the Hogwarts Guild and draw in more roleplayers. I know that I would love to see this guild a bit more active, which gradually it is. But I think that an event planning group will be a fun thing for everyone. It would unite us as a group and build strong bonds.
I thought that we could have a group of 5 people, more or less depending on what you would think is best, to be the planners for the events. These events can be based partly on the roleplay but they don’t have to be. For example, the spirit week idea where we tekteked our avi’s didn’t have anything to do with the roleplay, but the Triwizard did. In order to keep the guild on a schedule basis I figured we could have one event per month, that way people will always be anticipating the next one and will keep coming back for more. As for the planning of the events I already have the system of how it will be done down. As a rough example I’ll use my guild and set up how I want it to be done. Just click the link to check it out. Also in the link I have created an actual mock event in the Planning sub-forum and the Events sub-forum. Please check them both out.
The team will be lead by a Team Leader. This person will be in charge of making sure everything in that thread runs smoothly and that the events get planned on time and so on.
As for the process of picking an event to do, its rather simple. Say someone posts an idea for a prom in the Event Suggestions sticky topic in the link above. A large majority of the planners would have to like the idea in order for it to become a possibility. Once we have majority approval, we will gather a rough sketch of the event we hope to plan and the Team Leader will proceed to message either you or Sing with the details. Once one of you read it over and consult with each other, you message us back with you approval or denial of the said event. If it is approved a normal topic will be created with the event name as a title and that is where all the planning will begin. You and sing will be notified and be kept up to date on the event at all times by the leader. You two can monitor the planning as you see fit. Once the event is all planned with the details and etc, we will notify you on the finished result and once again ask for your approval.
Advertising the event is very important to ensure its success. Once we have gotten the final approval from you and/or Sing, we as a group will proceed to make a post in which advertises the event. It will have all of the information about the event including when and what the event is. We will send you or Sing the post in a private message so that one of you may post it in an announcement for the guild to see maybe one week-two weeks ahead of time. You can make other little reminder announcements so that the members wont forget about the event. As for external advertisement, I’ll take care of that.
Some events will be held in the towns of Gaia. Now I know not everyone had access to the towns, like you, and for those circumstances There will still be a topic discussion thread and/or a forum based event for those unable to get into towns. Also as an extra measure I or another member of the planning team will take pictures and/or video clips of the event to share with the guild and preserve our times together as a guild. Its also fun to look back on a few months down the road.

Only got 4 comments, 1) I'd love to help think of the ideas, I know they tend to revolve around the high-posters a lot, because it is tricky thinking of ideas and I could efinitly use all the help I could get. 2) I love the whole working it out thing, being sure we know what's happening. If I don't like something about it, I can just message you guys and sort it out. 3) I nominate you as leader since you thought of all this. It doesn't have to be just one person though, I feel like every high-poster should get a say. Just kinda everyone working together. Some people think of the ideas a bit more of course, as long as no one goes power-hungry, cuz kaydot- did go a bit power-hungry near teh end, I want people not god-modding or thinking themselves perfect. As long as no leader does that, i think it'll go smoothly. 4) I won't be around as much come 2013. that's when the real work for me starts. I'll still be on of course, assuming the guild gets that far, but as we know these decrees are fake, and i just don't want to have someone who completely disregards what I say and goes along with their own plan. we need to be sure most of the guild agrees. We want it a group effort, and i just really want that to stay because i know the events we have kinda revolve around the people that do post most, it's kinda like...they're the only ones who really participate though XD i just wanna please as many people in the guild as possible without working to death. 1) biggrin 2) I want the true powers of the guild to know what we're up to so if they have a issue with something we can resolve it in a quick and effective manner. :3 3) I was thinking about that too you know. About how we should get everyone input, even the low posters of the guild. If you could make a public Event Suggestions topic so everyone has a chance to post their ideas and feelings of ideas. The team would look through it frequently looking for the next big event! I would love to be leader ;o I want to be leader and I thank you for your nomination hehe. 4) I understand where your coming from. Thats going to be a part of the team effort, to plan events that the whole guild, and even the non-members, can be involved in. Also, if these events get really big and go as I plan we'll be able to get more literate and active members into the guild. Publicity = goodness.

Well the idea does sound solid, but it would be up to Sing to give the final okay to it all. Until then you have my support in this.
Question though who would make up this team? Would they need to be on the actual crew? Do we vote? Or just ask people who wish to join to volunteer themselves?

Yes her too of course. I was just typing in a rush I is sorry hehe. But I thinks its pretty solid, there may be some holes in it but I'm sure we can fix them as we go on. I appreciate the support. The team would be made of 6 active members, the leader and 5 others, that are interested in planning events for the guild. They must be dedicated and have a decent amount of time available to be put into planning because trust me, it takes alot of work to pull this stuff off. Since the planning thread would be crew only the people on the team, if they werent crew already, would need to be bumped up to crew if that was alright. So they would need to be trustworthy as well. As for picking who, I suggest we just make a general announcement on who would be interested in joining the event planning committee and pick the best 5 there is. And as a little unprofessional not I would REALLY love to be the team leader D: But since I dont want to be a communist I'll leave that in the true powers' hands. *coughpleasemakemeheadoftheteamcough* Its going to take a little bit to actually set up the team but once they're all set up it will be a piece of cake to get active and started. Well even if I say no to an idea, i'm not gonna just be someone to be all, NOPE. and be final. I'm open to new ideas and if I don't like something, we can just change it around, tweak it, kinda. I do think you should be the captain of the second guild, since you thought of the idea. just check out the other stuff i have that i posted on my mule What second guild lol. That link I posted was an example of what I wanted it to look like. I was figuring we could use one of those empty forums for the Planning sub-forum.

Publicity = goodness. awesome biggrin i can keep up on what you guys are doing in the event stuff, join your guild and keep up, so that way i can put in suggestions as we are planning it, everyoen can, we can make it a great event, and do it. i'll 99% sure approve them, i'm really open to new ideas and i wanna see this guild become magical. as long as it's not, you make and event and start doing and and i don't even know what's going on type of things then yea i like this XD i'll stay updated and in the loop, so that when it is time to finalize it, you'll have my approval.

First off, I did realize the event had started; I was merely questioning for that class with all the changes how were us newcomers to the room supposed to respond. Your posts to the hospital wing have helped clear that up.
I like your idea of an event committee of sorts. I think it should change up a little more often. Maybe every other month a couple of the crew switch with other prominent members who want to be a part of the planning? Or maybe have it larger? I think 6 is too small of a percentage.
I think some events are wonderful to advertise, but others like this one the surprise was necessary. I know it's starting off a little roughly, but in order to roleplay realistically I think the horror of its beginning was a good way to introduce it. But you plan to advertise outside of the guild too?
Will we start focusing on literacy? Like helping those who are new to roleplaying, and that sort of thing? Just out of curiosity.

Just Before An Eclipse First off, I did realize the event had started; I was merely questioning for that class with all the changes how were us newcomers to the room supposed to respond. Your posts to the hospital wing have helped clear that up.
I like your idea of an event committee of sorts. I think it should change up a little more often. Maybe every other month a couple of the crew switch with other prominent members who want to be a part of the planning? Or maybe have it larger? I think 6 is too small of a percentage.

loads of people can be awesome posters, ten just leave. we'd need people to take over for them, maybe have about 10 in the group, but keep track of who's active so we have someone to replace someone if need be.

Eclipse brings up a good point in rotating planning team members. It wouldn't be fair to the others if we didn't. Plus we never know when a planning member might become inactive and we'd need a new one to take their place.
Rotating members would be confusing but I see your point. In order to compensate without causing to much confusion I suggest we have a team of 6 members as I suggested but their place would be a little different. There will be: -Team Leader -Permanent Team Member -Permanent Team Member -Permanent Team Member -Volunteer Team Member -Volunteer Team Member At the end of each month we can bring in two new volunteers who want to be a part of the planning program, all they need to do is let us know. In the Welcome topic in the Event Planning sub-forum we can have a list of volunteers that signed up in a first come first serve policy.
